Dear Parents,
We are delighted to welcome your student to AWANA this year. Our ministry leaders and dedicated volunteers eagerly anticipate working alongside you to impart the teachings of God's Word to your child. AWANA is dedicated to introducing children to Jesus Christ, fostering a lifelong connection with Him, and empowering them to understand, cherish, and serve Jesus through engaging, scripture-centered activities and nurturing relationships with others.
As we embark on this new year together, here are some important details and actions for you to be aware of:
It is mandatory for each child to be registered to participate in AWANA at Trinity Church. Registration allows us to gather essential information about your child, your contact details, and other pertinent data to ensure your child's safety and well-being. Rest assured, we do not disclose this information to external parties.
This year, we will host an open registration night on Tuesday, September 16th, from 6:00 to 7:00 PM. We encourage you to attend with your child to complete the registration process, meet your child's room leaders, and connect with other parents.
AWANA club nights are scheduled for Tuesday evenings during the 2023-2024 season, with our kickoff club night set for September 23rd.
If you prefer to register your clubber online, please visit www.trinityfree.com/awana to register your student(s) online.
Dues can be paid in the AWANA office. Additionally, if clubbers need handbooks, bags, or uniforms, these items can also be purchased in the AWANA office during Registration Night or duing a regular club night.
Our calendar includes special theme nights and events throughout the year. Theme nights offer your child the chance to earn extra rewards and exclusive items. Copies of the calendar will be distributed on the first night, with periodic reminders provided during the year. Should you require additional copies of the calendar, kindly reach out to our AWANA secretary, Nicole Fleming.

Communication and Updates
Clear and timely communication remains a top priority. Parents are encouraged to regularly visit the AWANA Club webpage at trinityfree.com/awana and ensure their contact information is current to avoid missing important updates. A monthly newsletter will also be sent out to keep you informed, and additional reminders will be shared at check-in and pick-up as needed.
The Parent Partners initiative offers a unique opportunity for parents to engage with their children during AWANA activities, including large group sessions, small group interactions, and games. Our commitment is to support parents in their children's spiritual growth by fostering understanding of their participation in AWANA and empowering them to extend these teachings into their community. While room leaders will involve parents based on their comfort level, active participation during small group/book time is encouraged. Parents are invited to express their interest and availability on the registration form, welcoming all parents and guardians to participate.
Membership in the AWANA club includes contributing to club dues. These fees contribute to supplementary expenses like classroom supplies, parties, rewards, and special events, amounting to $15.00 for the entire 2025-2026 season.
Each child requires a handbook for full engagement in AWANA activities. As part of Trinity Church's commitment to children, families are responsible for a one-time payment of $14 for the handbook. In the event of a lost handbook, families are required to cover the replacement cost.
Uniforms play a pivotal role in the AWANA experience, fostering a sense of belonging and identity among club members and showcasing the earned awards throughout the year. Each AWANA Club features a distinct uniform, and it is advisable to purchase a size that accommodates your child's growth throughout their club participation.
Uniforms are available in the following options:
- T&T Jersey (Youth sizes 10, 12, 14, Adult sizes S, M, L)
- Sparks Vest (Youth sizes M-8, L-10, XL-12, XXL-14)
- Cubbies Vest (Youth sizes S, M, L, XL, XXL)
Parents can order uniforms on Registration Night, with new club members receiving their uniform after completing the Start Zone orientation. Please note this may take a few weeks due to potential shipping delays and product availability.
Children are required to wear appropriate closed-toed shoes for safety reasons during all club activities.
Payments may be made in cash or by check payable to Trinity Evangelical Free Church (please note “AWANA” and include your child’s name). These payments are not tax-deductible. Starting on registration night, card payments will also be accepted in the AWANA office on any club night. In addition, an online payment option will be available soon for added convenience.
AWANA provides an excellent opportunity for your child to invite their school friends to join them in learning about Jesus while enjoying time together. Encouraging students to share their faith and invite friends is a key focus for us. We will be offering "invite cards" for students to distribute. Your support in encouraging your child to invite friends, especially those without a church affiliation, is appreciated. However, it is essential that the friends' parents also complete a registration form.
We are delighted to have your child participate in AWANA. As you entrust your child to us, their safety and well-being are our top priorities.
Check-In – Upon arrival at the Trinity Impact Center for an AWANA club night, you will be greeted by one of our AWANA Safety Team leaders equipped with a tablet and/or sign-in sheet to assist with checking your child in. Please note that AWANA begins at 6:00 pm on Tuesdays, with the earliest drop-off time being 5:45 pm. Clubbers arriving before this time will be asked to wait outside with their parent(s)/guardian(s).
Check-Out – Only parents (excluding older siblings) are authorized to pick up AWANA students. If someone other than a parent or guardian will be collecting your child, please inform the AWANA Safety Team leader and AWANA Secretary during registration/check-in. Trinity Church adheres to a strict release policy to ensure the safety of all children involved in AWANA.
Our workers are instructed not to release a child to a teenager or adult without verifying that the parent or their designated representative is present for pick-up. Children will be supervised until picked up and will not be released to search for their parents or engage in play activities. Trinity Church has the following release policy:

Your cooperation is appreciated as we prioritize the safety and well-being of all children in our care.
AWANA closing ceremony and prayer begins at 7:30 pm each evening. This portion of the club night lasts approximately 5 minutes. We kindly request that you pick up your child no later than 7:45 pm to allow our team members to finalize clean-up and debrief after the club meeting.
At Trinity’s AWANA program, the safety and well-being of every child is one of our highest priorities. All leaders and helpers have been carefully screened, trained, and placed to ensure that children are cared for in a safe and loving environment. We follow clear procedures for check-in and pick-up, maintain appropriate adult-to-child ratios, and have policies in place to protect children at all times during club activities.
We believe that caring for children’s safety is not only a practical responsibility but also a biblical calling. God’s Word reminds us that children are a gift and heritage from the Lord (Psalm 127:3). Jesus Himself showed the importance of protecting and valuing children when He said, “Let the little children come to me, and do not hinder them, for the kingdom of heaven belongs to such as these” (Matthew 19:14).
By working together—leaders, helpers, and parents—we can provide a secure environment where children are free to grow in their knowledge of God, build friendships, and experience His love.
